Digital data are an important and secure worthy assett

Business is based on analogue and digital data. This is an important tool that has to be always available.

Analogue data like certificates and documents can be easily copied and stored in a safe place. Digital data is mostly only minorly secured. "It will not happen", that is most common intepretation. At least I have a data recoverage on media. But wat is happening if these are not run regular or the stored data is not reactivated?

Periods of storage of digital data

For the storage of digital data requirements and deadlines apply. These are regulated by law and may vary depending on the industry long. For example, the following commercial data retention periods apply:

Six years:

  • Received trade letters
  • Playback (Copy, Hardcopy) of sent trade letters
  • Business documents and other documents with trading and taxing advise
  • Everything that can lead to a misunderstanding.

Ten years:

  • Annual balance sheets
  • Fixtures
  • Account books
  • Bills
  • Certificates
  • Mortgage
  • Everything that gets booked.

Permanent:

  • Court decisions and working plans

Period of safekeeping is starting end of legal year in which the document was created and is ending on the last day.

Prevention is costly - damage much more

Prevention is in most cases done when a damage is recorded. If it comes to a damage lost data cannot be restored in time or is lost.

The most causes for damage can be prevented to a minimum. There is no exception, because human reasons (eg. unsatisfied employee) can not be administrated. But technical preventions are possible to minimise damage.
